Privacy Policy
Effective date: [EFFECTIVE DATE]
This Privacy Policy explains what information Ravani collects, how we use it, who we share it with, and the choices you have. Ravani is operated by [OPERATOR ENTITY] (“Ravani,” “we,” “us”). It applies to the Ravani website, the Ravani desktop app and the Ravani iPhone app.
1. Information we collect
- Account information. Your email address, a securely hashed password if you sign in with email, and, if you sign in with Microsoft, your name, email and the basic profile information Microsoft provides, which can include details such as a job title or phone numbers listed on your Microsoft account. We also keep account settings such as your time zone and model preferences.
- Content you create. Your chat messages and Ravani’s replies, Live Pages, to-dos, flows, facts Ravani remembers about you, scheduled messages, daily inspiration messages (on by default; you can turn them off in Settings), and images you ask Ravani to generate.
- Voice. When you use voice conversation, your speech audio is streamed for transcription and Ravani’s spoken replies are generated from text. The resulting transcript is saved as chat messages.
- Connected services. If you connect Notion, we store the connection credentials Notion issues and the list of pages you choose to share with Ravani.
- Technical information. Operational logs and diagnostics, such as IP address, browser and device type, timestamps, error reports, and per-request usage and cost records. We use these to run, secure and troubleshoot the service.
2. How we use information
We use your information to:
- provide Ravani, including generating replies and remembering past conversations so Ravani can refer back to them;
- build a private search index of your conversations, pages and facts, used only to answer your own requests;
- send account emails, such as sign-in codes, verification and password reset messages;
- deliver iPhone notifications you turn on;
- keep the service secure, prevent abuse, fix problems, and respond to support requests; and
- comply with legal obligations.
We do not sell your personal information. We do not show advertising, and we do not use third-party analytics or advertising trackers. Apart from the service providers below, we use only our own operational logs and diagnostics.
3. AI and service providers
To answer you, Ravani sends the relevant parts of your conversation to an AI provider. This can include your message, recent conversation, related memories and facts, and the content of relevant Live Pages. Which provider receives a request depends on the model selected in Settings and the feature you use.
| Provider | What it does | What it receives |
|---|---|---|
| OpenAI | Generates replies when an OpenAI model is selected; creates the embeddings that power search of your history; transcribes and speaks voice conversations when OpenAI is your voice provider. | Conversation content and related context; text to be indexed for search; voice audio and reply text for OpenAI voice sessions. |
| Anthropic | Generates replies when a Claude model is selected. | Conversation content and related context. |
| Google (Gemini) | Generates replies when a Gemini model is selected, and generates images you ask for. | Conversation content and related context; the description of an image you ask Ravani to create. |
| Groq | Runs research steps, including Deep Research for Live Pages, and writes the short status lines shown while Ravani is thinking. | For research: the research topic and related conversation excerpts, Live Page content and facts. For status lines: excerpts of the AI model’s in-progress reasoning about your request. |
| Deepgram | Transcribes and speaks voice conversations when Deepgram is your voice provider (the default). | Your speech audio and the text of Ravani’s spoken replies. |
| Web search | When Ravani searches the web, the search is run by the AI provider answering your message (OpenAI or Anthropic), using that provider’s own search service. When a Gemini model is answering, OpenAI runs the search. | Search queries written from your conversation. |
| Notion (only if you connect it) | Lets Ravani read the Notion pages you choose and make changes you approve. | Requests made on your behalf, including the content of approved changes. |
We also rely on these service providers to run Ravani:
- Microsoft Azure hosts the application, database, search index, file storage and backups.
- Microsoft handles sign-in if you choose “Continue with Microsoft.”
- Postmark delivers account emails.
- Apple delivers iPhone notifications you turn on.
- Google Fonts and jsDelivr serve fonts and icons for our web pages, and receive your browser’s IP address and basic request details when they do.
We may also disclose information when required by law, to protect the rights, safety and security of our users or others, or as part of a merger, acquisition or sale of assets, subject to this policy.
4. Desktop Local Vault
The Ravani desktop app offers a Local Vault mode. In Local Vault mode, your conversations, pages and related data are stored on your own device rather than in our database. To generate replies, Ravani still sends the relevant parts of your conversation through our service to the AI providers above; we do not store that content in our database.
Data kept in the Local Vault stays on your device and is outside server deletion: deleting your Ravani account does not delete it. You can remove it by deleting the vault on your device.
5. Retention and deletion
- We keep your account data until you delete it. You can delete individual items, such as Live Pages or to-dos, at any time.
- When you delete your account and the deletion completes, it is immediate and permanent. (If a background task is still finishing, Ravani asks you to try again shortly.) Your account, conversations, pages, facts, generated images, connected-service credentials and your search index entries are removed; we do not simply mark them as deleted.
- Database backups are kept for disaster recovery and age out within 30 days. Deleted data may remain in a backup until that backup expires.
- Operational logs are kept only as long as needed to run, secure and troubleshoot the service.
To delete your account, see Support.
6. Where your data is stored
Ravani stores your data in the United States, in Microsoft Azure’s East US 2 region. Our AI and service providers may process data in the United States or other countries where they operate. If you use Ravani from outside the United States, your information will be transferred to, stored and processed in the United States, where data protection laws may differ from those where you live. Where the law requires it, we use appropriate safeguards for these transfers.
7. Security
Data is encrypted in transit and encrypted at rest in our database. We limit access to the people and systems that need it to operate Ravani. No system is perfectly secure, so we cannot guarantee absolute security.
8. Age requirement
You must be 18 or older to use Ravani. We do not knowingly collect information from anyone under 18. If you believe someone under 18 has created an account, contact us and we will delete it.
9. Your choices
- You can view and edit your conversations, pages, to-dos and settings in Ravani.
- You can disconnect Notion at any time in Settings.
- You can delete your account at any time.
- You can contact us at [PRIVACY EMAIL] with privacy questions or requests.
10. Text messages
Ravani does not currently offer a text-message (SMS) program and does not ask for your phone number. (A phone number listed on your Microsoft profile may be included in the profile information described in section 1.) We do not sell or share information for marketing by text message. If we offer text messaging in the future, we will update this policy before it starts.
11. Changes to this policy
We may update this policy. We will post the new version here with a new effective date and, if the changes are material, tell you in the app or by email before they take effect.
